Purpose of the EA/PA Role
To enable our CEO to take on more charity growth activity, through developing his confidence that a range of administrative and coordination activity is being well managed.
Key Responsibilities
- Maintain up to date financial processes and information; invoices, payments, expenses, etc.
- Arrange meetings and support good diary management.
- Liaise with trustees and coordinate board meetings - including gathering information for board reports.
- Manage background checks process (infrequent).
- Maintain central key documents database and support with statutory reporting requirements
- Other administration / coordination as required, including drafting and updating contracts and service level agreements, scheduling social media posts, and sending materials to charity customers, partners and funders.

- We receive feedback that our EA/PA is “a TAP person”, embodies the spirit of TAP, and contributes to the feeling of a TAP family, which defines our charity.
- The process of taking over diary management is driven by EA/PA’s experience and confidence.
- CEO’s relationships are strengthened not weakened by having less interaction at the diary scheduling stage.
- Evidence of consistent error free financial administration, meeting scheduling, and public communications within 3 to 6 months.
- CEO receives proactive requests and suggestions to take administrative and coordination tasks off CEO’s to-do list, and to improve systems and processes.
- CEO is less involved in readying trustees for board meetings and coordinating actions.
- CEO spends more time on high value projects and makes decisions based on information provided to him.
Person Requirements
Essential
- Eye for detail
- Empathetic and sensitive to the “customer journey”, including the ability to tailor tone and style as needed across the diverse groups we engage with
- Personally well organised and a structured planner
- Experience of managing CEO / MD diary
- Relationally open, warm and task (outcome) focused
- Proactive coordination - able to initiate and follow through
- Improvement oriented, with excellent problem solving skills
- Able to judge when to problem solve independently or when to ask for support and checks
- Adept at a range of situational responses - emails / phone / Zoom
- Takes responsibility for quality of written / financial checking output
- Comfortable remote working, using Zoom and Teams
- Proficient at using accounting/bookkeeping software
- Proficient at using G-Suite (gmail, google docs, etc.)
- Feels strongly motivated by the aims and values of TAP
Desirable:
- Experience in a public facing role
- Interest in sport, youth development, mental health, mindfulness
- Proficient at using Canva
- Experience using project management software
- Interested in the potential to grow the role to half-time, and potentially full-time

The Commitment
Board members are expected to attend quarterly board meetings (2hrs) in addition to preparing fully for meetings (e.g. reviewing documents), as part of a total contribution of 3 days per quarter. Within this commitment, the successful candidates will be expected to provide support to the executive team, for example through attending subgroup meetings. We also expect board members to participate in 1-2 in-person fundraising events per year.
The majority of board and subgroup meetings are held online, on weekday evenings. On occasion they may be held in person (for the UK, they are typically in London if in-person; for the US, they are typically in Chattanooga, TN if in-person).

- appreciate and deeply understand the need for our holistic approach;
- have significant expertise and experience of fundraising (we are particularly looking for experience of corporate sponsorship development, community fundraising and fundraising events);
- have a strong network relevant to our strategic ambitions (i.e. the sport, health, education, finance, sponsorship and/or fundraising sectors) that you will be comfortable drawing upon for the benefit of TAP;
- are highly motivated to find the time to actively support the charity beyond the quarterly board meetings;
- bring a rich perspective to the position, which complements the existing team;
- can show demonstrated engagement with diverse groups;
- embody acceptance and kindness, professionally and personally;
- are passionate about mental health.
In addition, we will specifically be looking for candidates who:
- have an excellent understanding of charity law;
- have expertise in charity finance, accounting and bookkeeping;
- understand social enterprise, and have experience of helping small organisations achieve growth and scale;
- have a background in marketing and communications;
- have an excellent understanding of the sport for social change field (and understanding of the sporting sector as a whole - i.e. professional sport, performance sport, school sport, community sport, sport for development).
